Introduction to Business Communication

In our daily lives we spend a major part of our days communicating. We need to communicate in order to be heard and to be understood by others. In the business world the act of communication forms the basis of the workings of the system and is therefore needed to be refined and proper. Poor communications skill not only creates problems in the workspace, it also proves as a barrier for individuals on job hunts. Therefore, one must have good communication skills to survive in the business world and here comes the role of business communication.

What is business communication?

It is impossible for a business organization to
function without constant movement of information and feedback, business
communication is the mechanism and means by which this information flows
along different departments of the organization. It includes all forms of
communication that is, reading, writing, speaking and listening.

As an employee or an employer, one must be a
part of the larger organization which can only function with some form of
communication and that requires skill and eloquence. Most people feel that the
simple act of communicating does not require any special attention, even in their
workplace. However, when looked at closely the intricacies of the various
levels of communication in companies and business organizations often proves
challenging.

Why effective communications skills are important?

Exchanging information

Communication is
essentially the exchange of information between two or more parties. Business
exchanges can be external and internal. Internal communication deals with the
staff, it could be in meetings or through written messages (emails, documents,
etc.) while external communication deals with clients, suppliers and other
business.

Teamwork

Communication does not
just involve conveying message and information, it also involves being an
active listener and understanding the message being conveyed. For a project to
work smoothly and successfully the ability to collaborate and cooperate as a
team plays an important role. Effective business communication helps promote
understanding and build trust between colleagues, an important part of working as
a team.

Preparing and executing plans and policies.

To form sound and
realistic plans and policies all the relevant information is needed, this
information is collected through different sources by communicating. Managers
find reliable sources and information through the tool of communication.
Effective Communication also helps get the feedback needed to bring changes to
the existing policies and to express views on the new upcoming policies.

Timely execution of
these policies and plans also needs communication, organizations rely on
communication to disseminate information about the plans and decisions to the
various departments. One example of this are the minutes prepared for each
meetings, it helps inform the workers of what was decided on the previous
meetings and how far has it been implemented.

Increases productivity and efficiency

With the help of
communication, the tasks and objectives of an organization, their plans,
policies, rules and other complex matters can be explained to the employees
helping them to broaden their knowledge about the project they are working on
and thus be more efficient in their work. Communication also helps build the
trust between the employer and employee which leads to better workplace
environment and a general trust and belief in the voice of the managerial
figure encouraging the employees to be more productive and efficient.

Secure workplace environment

An organization with
good communication at all levels also has a more satisfied workforce and
healthy workplace atmosphere. Communication helps the lower levels of the
organization to be at ease with the authorities leading to a healthy
relationship where they can voice their issues and raise concerns without any
hesitation. This creates less chance of misunderstandings between the workers
and helps avoid any internal conflicts. It also proves as a good tool for the
authorities to get feedback and hear the views and arguments of all the
employees, it promotes an open door policy that encourages the hierarchy of the
organization to communicate among themselves and work smoothly as a team.

Improving external relations (with clients and
other businesses)

Good relation with the
clients and other business ventures is always desired for a business
organization. Effective business communication skills helps build a healthy
reputation and trustworthy relation with the clients, thus promoting the
business and helping it grow.

Publicity and advertising

In today’s competitive
market, good publicity and advertising is of utmost importance. The better the
communication skills of an organization, the better its reputation and the
better numbers it has in its sales. Communication also helps remove any
controversies that might circulate around the organization as it allows for a smooth
flow of information among the parties involved and any disagreement can be
resolved easily with good communication.

Having looked at the various advantages
of good and effective business communication, let us look at some ways you can
improve your communication skills.

Ways in which you can improve your communication skills

Be a good listener.

Good communication is a two way street and can only flow when the meaning
of the words is grasped properly. When someone is talking to you they expect to
be heard and have your undivided attention. Do not be distracted by things
around you and keep your attention on the speaker. Give voice to any
misunderstanding. Do one thing at a time, one conversation at a time.

Know your audience.

Know the language and attitude to use in formal and informal situations.
When talking to a client or your boss the conversation has to be strictly
formal. Watch your body language. Target
your message in accordance with the audience, keep the person you are speaking
to in your mind and approach accordingly.

Empathize.

Be understanding of the needs and issues of the person you are speaking
to. Put yourself in their shoes and try to approach the problem keeping with
unbiased mindset.

Treat everyone equally.

Be positive in your language.

Try using positive words instead of negative ones. Be optimistic in your
approach. Be open to different ideas.

Be concise and specific.

Try to avoid confusing speech. Be specific and state your position
openly. Keep the words concise and don’t go beating around the bush.

Think before you speak.

Most of the time impulsive actions and words are not genuine and yet
create the most conflicts. So take your time and think before you say anything.
Read your messages before finally sending it.

There are many ways in
which you can improve your communication skills, just keep in mind the two
actions involved, that is, of listening and conveying your message clearly.
Practice makes perfect, so practice communicating openly with people in all
spheres of life.

Good communication is
an asset useful not just for the purpose of business but also for interpersonal
relationships. It will not just help you stay at the top in your business
profile, it also helps build confidence and improve social skills.

Introduction:

Body language communicates much more than words. Body language signals are called ‘leakages’ because you may try to tell something, but the truth will leak out visually. Body language is the Communication of personal feelings, emotions, attitudes, thoughts through body movements-gestures, postures, facial expressions, walking styles, positions and distance – either consciously or involuntary, more often subconsciously, and accompanied or unaccompanied by the spoken language. For example, when two people meet for the first time, their initial reaction is to size up each other by observing appearance, attire, facial expression, hand shake and posture.

AVOID SUCH BODY LANGUAGE

The following body language should be avoided:

Relaxed Hands:

It sends non-verbal messages of a person’s confidence, acceptance, and well being.

Open Hands:

It is a sign of trust, and a show of interest in the opinion of the other person. It can also mean an invitation to the other to share his or her point of view.

Clenched Hands:

It sends a number of signals depending on the context and the mood. It might also signify extreme emphasis, vehement declaration and desperate resolve. It also indicates tension and frustration and even anger. People often try to cover up their feelings by displaying a happy, smiling face but are betrayed by their clenched fists.

Wringing Hands:

It denotes discomfort and tension.

Pointing Index Finger:

It accompanies a word of threatening or warning, when one tries to drive a point home. People often take offence.

Thumb Gestures:

Slipping hands into the pockets –the front or the back ones—and letting the thumbs stick out betrays a very dominant and aggressive attitude.

Thumbs Up:

It is a gesture of exuding power and superiority.

Cracking of Knuckles:

It is a signal of anxiety, nervousness, boredom, restlessness and an unresolved state of mind.

Crossed or Folded Arms:

It indicates a protective guard against anticipated attack. It is also a comfortable position and the gesture that stands for relaxation. It reflects a closed mind as well. It signifies defensiveness or negativity. It is observed that people use this gesture when they feel insecure or when they disagree with the speaker.

Partial Arm Cross:

To avoid the full crossed arm-gesture, people often end up using this gesture instead. It reflects lack of self-confidence.

Arms behind the Back:

This gesture is restored to by a person who is experiencing inner conflict. He must be trying to hold himself back from taking aggressive action. It is also a gesture of self-control.

Mouth Covering:

The person doing this might be

Lying

Unsure of what he is saying

Trying to prevent himself from expressing his views which may be opposed to the speaker’s

Whispering to keep something secret

Trying to suppress a feeling

Suffering from bad breath.

Putting Objects in Mouth:

It shows that the person is under great pressure. If one uses this while speaking it suggests that he is procrastinating. It indicates that he is not sure or delaying a decision.

Neck Scratching:

It shows that the person is suffering from some psychological discomfort at the given moment.

Rubbing Eyes:

This shows that a person is in doubt or trying to deceive. It is also used while lying.

Nose Rubbing:

It can be a sign of rejection, a gesture of doubt, when one is not sure about how to approach a subject or what the reaction of the audience might be.

Hand on Check:

It signifies that he is in the process of evaluation, or in deep reflection, attention and interest.

Chin Stroking:

This suggests a person is in deep reflection. It follows the flow of choices a person is deliberating upon regarding the proposition under consideration.

Hand on the Head:

It indicates despair, bereavement, prolonged thinking, and boredom. It can also indicate extreme interest when accompanied by proper eye gestures.

Slapping the Head:

It signifies forgetfulness, he is not intimidated ssby the other person having mentioned his forgetfulness. However, scratching the head with the hand is a gesture that expresses frustration or indicates that one is feeling flustered.

LOOKING AGGRESSIVE

The following kind of body language is aggressive:

—Arms folded across the chest

—Staring

—Pointing

—Making a fist

—Leaning over someone

—BEHAVING RUDELY

Some of the rude behavior should avoid are follow:

—Working when someone is talking to you

—Puffing

—Tolerating

—Smirking

—Whispering

—Cracking knuckles

—Grooming yourself’

—Standing too close

—Packing up folders and papers well before the meeting is over

—Shaking hands too hard or limp handshakes

Yawning when the meeting is in progress

—Looking at your watch repeatedly

—Blinking a lot

—Fiddling with rings, watches, earrings and chains

—Tapping or clicking pens

—Playing with paper clips

—Jingling money in pocket

—Picking at fingernails

—Twiddling bits of hair

—Smoking

Professional skills are quite important in one’s life…

Professional Skills goes beyond being materialistic, a vision in you created is the seed towards execution of the plans that you already have in your mind, “To give more then what you consume or to get more then what you give” is the sentence which we implement without seeking where the line is to be drawn, these skills are developed more-when we face challenges and think out of the box, as a employee you step out of your comfort zone and go the extra mile, how it is implemented lets read more… ??

To know, where to use your skills is the biggest and the smartest way to work with all your mixed energy and transform it into unexpected results, yet being positive:

The 3(CHS): 3C+3H+3S

1. Correspondence: verbal or written & communicate
2. Co-ordination: inform each other & take due help
3. Co-operative: to be in awe with each other’s views

1. Humble/Honest: Transparency is seeing through it without being hesitant
2. Hard-work: putting efforts as taking risk is the need of the hour and yet fathom in the paths made
3. Healthy: maintaining healthy relations in your work space & like-wise take care of one’s health as well.

1. Smart-Work: to be the lazy smart employee
2. Society: to be willing to contribute towards the society
3. Soulful : to connect what you do

A recent experience tells me that companies now look for all-rounders. Best of the scores isn’t their only acceptance criteria when it comes to hiring people. But this isn’t what they do at the interviews. Shockingly yes! You don’t always get the job because you are the best among the rest, but because sometimes, they just want numbers.

This theory goes both ways actually. Looking at the individual’s point of view, most people, after getting a job, update their profile and let others know about the kind of job and package they’re currently capable of getting. This makes certain quality-hungry companies offer the same people a better prospective. This practice obviously brings you closer to Mr. Ambani but it also proves you to be disloyal to your companies and there comes a saturation point when you just can’t expect a higher salary from the same sort of job. To quench the thirst for higher salary, you lost your path to success and personal development.

Peeking into the corporate world, I found out that most companies hire the chosen “many” instead of a few just to add to the work force. A substantial number of them leave their desks in a mere period of 6 months. What’s left of the lot is a group of loyal workers who want to develop and rise in their field. The HR department then focuses on the internal and external development of these people.

A new trend is in beta test which might turn the whole HR industry upside down. Quantity then quality, not quality and quantity.

How personally professional we can be ? Business and professional community is growing in India for over two decades now, thanks to the policy of globalization started in 1991. Being professional now-a-days is equivalent to being committed to work more than anything else. It means keeping one’s private and work life at the two edges of a balancing rod. The greater the force applied to any one of the edges, and the rod will tend to fall. So the immense need of professionalism along with management of personal life for a developing country like India is the talk of the hour.
During the post-independence era, India was a basic agrarian economy. Most of the revenue used to come from agriculture and a greater part of the population invested its time and energy in making our country self-sufficient in food. The talks among the people used to be more related to indigeneous competitiveness, like two producers competing for a home-made product. Most of the work sectors used to be managed be the government, with a lot of options pertaining to subsidies and base prices. Even the service sector was largely managed by the government, where getting a government job used to be the ‘royal’ thing. The currency was strong, because it had no influence whatsoever of foreign economies. The market was closed, so most of what used to be exported or imported was to cross the barriers of heavy duties and taxes. In this era, professionalism was still important, but it was not something our bosses stressed too much upon.
Now comes post-globalization era. It is said that a frog in its well feels like a king. And so were we, pre-1991 times. Now, the frog was somehow given a rope and a chance to find new and fresh wells, with less stagnant water and a blessing of healthy lifestyle. Now, the currency is depreciating, because we are producing less GDP per capita per working person as compared to China or Japan or Germany or USA or Brazil. We are in an era of revenue dependency on manufacturing and services, which need to be a continuous task, rather than waiting for the monsoons for crops to grow. Now, taxes are less on imports and exports, owing to the favor bestowed on us by our government to become as modern as possible. Now, we tend to attend classes on professionalism to know how to actually become one.
As social animals, we need to grow, interact and know the world more than any other animal. Somehow, it becomes a significant factor for our survival and so we need to develop the skills to survive. I don’t say that the frog developed wings and flew off from his well, but he certainly adjusted to change, which he hoped was for his own good. And so are we, albeit via different circumstances, bound to develop a sense of professionalism to match the qualities of a healthy economy. To become economically well-off, we need to be at par with ‘polished’ professionals who know how to make a good use of their time and manage their lives.
I do not intend to say that we become mechanical. But if we mix our personal and professional lives, it is bound to gather chaos. The major factor that is affected is our productivity, which is time-dependent and time does not come again. Somehow, we need to develop the sense that there is no free lunch in this world, and we need to earn it. And if professionalism in work is what is required for a better earning, we need to do it.

Professionally yours.

No doubt, the crime has been risen significantly all around the globe over the past many years. But unemployment and incorrect upbringing are not the only reasons to be blamed for the existence of such a scenario, there could be many other reasons too. Even the change in human psychology due to tired and sick minds could be one of the main reasons. Seeing the situation of the country, we can well notice that people are made to work like hell across the globe.

So should there be some regulation regarding the amount of time a person is expected to devote for his official work? There are some regulations. What about introducing a ceiling on the working hours of an employee?

The ceiling on working hours will not only relax the employees from exhaustion but will also provide them with the substantial amount of time to spend on their family life and personal sphere. They will be able to take care of their health and this would definitely help them in improving their performance and the improved performance will be beneficial for the economy.

Moreover, the ceiling on working hours will put the restriction on the supply of labour and will result in the increase in demand for labour. And so it will ultimately result in creation of employment in the economy as employers will be forced to recruit more staff to carry out the operations of their firm. The ceiling would serve as a great tool to combat unemployment.

But the problem with the ceiling is that it would affect the performance of a company and even the cost incurred would be so high that small and mid-sized companies will not be able to afford it and this situation would affect the economic growth as a whole.
