Staffing- 4 areas that define an important part of Human Resources

As all of you know, Workers are a need for a firm with them the company meets their goal . Staffing is the process of filling / recruiting adequate personal to increase the work force of the company so that organisational aim is met . It is taken into consideration that the filling / recruitment will be based on a set of predefined criterion with qualified personals. It refers to the recruitment, development, training and compensation of the personals .

According to Koontz and O’Donnell :-

“The managerial function of staffing involves manning the organisational structure through effective and proper selection, appraisal, and development of personnel to fill the roles designed into the structure.”

Main Objectives

To understand the use of workforce .For eg , If a worker is good in technical stuff if he is allowed to handle account stuff everything will go haphazard so, understand the workforce and use the workforce in the right area in the right time .

To analyse the general problem, work over it and find a proper solution .

Proper functioning of the organisation – to understand the working and then providing the workforce .

Effective use of resources

Building higher model among the workers .

Nature of Staffing Functioning:

Staffing is a continuous process
As i said earlier , for the proper working of an organisation staffing is needed , as regular transfer, promotions and retirement takes place at the organisation ,workforce is required to fill the void created .Thereby increasing opportunity for others .

Staffing is people centric
This also subdivided into ‘
1. Blue collar workers and white-collar workers
Blue collar workers are those who work in logistics area, like loading and unloading stuffs and white-collar most clerical workers .
2. Managerial and non-managerial personnel.
3. Professionals
Based upon the capability, experience , knowledge and qualification workers are sorted in these areas.

Responsibility of all managers
It’s a key responsibility of managers to perform selection, training, counseling and performance appraisal fo the workers .

Human Skill
Managers should use approach the sub-ordinate with a human relation skill so that he can organise and train then with ease.

Staffing also plays an important role in the proper working of the firm.

Employees are an important part for an organisation. They are not robots who work round the clock in an organisation , can say they are the heart and soul or the backbone of the organisation on with which the firm stand up tall.

Apart from Professional work , there are some points that we should keep in mind if your running an organisation. These activities will increase the productivity of the workers ,there by creating a team ! no “Super team.

So what is an Employee wellness program
An employee wellness program, also called a “worksite wellness program”, is a program that promotes and supports the health, safety, and well-being of its employees.

so why develop an employee wellness program ?

Supporting and motivating staff to make healthy life style choices.

The program improves staffs health, morale and productivity

Employee wellness can be implemented in order to the given bellow steps .

In this program, your employee are the top most priority . The gap between employee and the employer should be reduced .
Like in this way , go and ask your employee that “what do you need ” and helping them finding the solution . This creation is usually met by conducting regular survey not only of the employee but also with the employers.

Based upon the survey done as explained above, analysis of the data take place and then proper strategy is made to solve the problem . Mostly team building exercise are made or setting up yoga classes, mediation and all , making them relax ,there by increasing the work efficiency .

No organisation can work with out an effective communication . So Employment wellness can also be implemented to create a communication plan .

Set some reward for the work completed. Like reward the employee who work overtime in order to drive long-term engagement.

Notify employees of the program through emails , posters etc

Implement and evaluate the program .

Employee wellness programs are effective tools that benefit both the employee and employer within a corporation. Implementing these programs correctly will bring about significant positive change within your organization.

‘Productivity Killers ‘-we can define this term as the distractions or problems leading to a decline in the productivity level of the employees. Productivity of the employees refers to the capacity of their abilities which is useful for the organisation . Whenever there is a decline in the productivity level of the employees there is reason behind it . The reason can be either personal or professional but their is some reason behind it .For example a person is suffering from stress or he is having some family disputes then he will not be able to concentrate on his work properly . This will lead to a decline in his performance . In this situation we can say that ‘STRESS’ was the productivity killer. Lets have a looks at some other productivity killers in the organisation :

* Texting – Now a days , people prefer to stay in contact with each other . Moreover, with the help of cell phones it is very easy for the employees to stay connected with their friends and family and its most basic way of connection is texting . It is becoming a kind of addiction . People cannot resist after listening the ‘beep’ sound of their phone and this is becoming a major drawback in the growth of the productivity of the employee. The employees are not able to concentrate properly on their work and as a result there is a sure decline in the performance of the employees. And now a days watsapp and facebook are so in 😛 !

* Breaks : Breaks are considered to be very helpful for the recreation of employees and reducing their mental stress . But on the other hand we can say that these breaks sometimes breaks the continuity and the employees . And sometimes it is also observed that the employees take more time to concentrate on their work after a break.

Personal reasons can also be considered as productivity killers , such as depression , stress , family issues or disputes etc.

Organising

How better identification and grouping improves Human Resource processes

“Organising is the process of identifying and grouping the work to be performed, defining and delegating responsibility and authority, and establishing relationships for the purpose of enabling people to work most effectively together in accomplishing objectives.”- generalized definition

mmmm….. In other words we can say that putting everything and everyone in the right place at the right time.Organising is devided into four steps :-

* identifying and dividing the work- In this the work is divided among employees in order to avoid duplication and burden of work on one employee.

* maintaining departments- similar kind of work is divided and further grouped together into one single head. This grouping process is called departmentalisation.

*assigning duties – Once the departments are made, then each department needs to be handed over to each individual. These departments are allotted to the individuals in accordance to their skills. For an effective performance it is necessary to make a proper match between the nature of a job and the ability of an individual.

* reporting – Everyone should know from whom he has to take orders and to whom he is accountable for the work being done .Reporting helps to maintain a regular check of the employees and their interests and engagement towards their work .

IMPORTANCE OF ORGANIZING

Organizing helps in the growth of the organization and it is a major ingredient of every department present in the organization whether it is he human resource or finance . Every department needs to be organised properly otherwise it will lead to duplication of work. For example, an HR manager has given a work to a group without properly assigning it to every individual and without making any group leader . As a result there was chaos among the employees . At times same task was performed by different employees a which lead to duplication of efforts and on the other hand due to inorganised work some of the employees who were more abable of doing a particular task was given some other work instead of that which lead to a decline in the productivity of the organisation as a whole. Here we can clearly see how important organizing is for an organization.

It leads to specialization in work performed without duplication of efforts !

The working of an Organisation totally depends upon 4 major steps:

Planing

Organizing

Directing

Controlling

In this , much more important part is Controlling.

CONTROLLING is the process to check whether the plan adopted, instruction given or the decision taken are followed by the workers . In simple words controlling process is simply a set of steps a manager uses to determine whether organizational goals have been met or not . It gives a check on the proper usage of organisational resources for reaching the goal. It maintains the performance graphs , like if there se fall in performance among workers, they look into the problem and finds a proper solution as soon as possible.

According to Donnell,

“Just as a navigator continually takes reading to ensure whether he is relative to a planned action, so should a business manager continually take reading to assure himself that his enterprise is on right course.”

Controlling is basically for :

Facilitating the coordination between workers and managers

Planing

The process involves :

Finding a standard measure
Firstly , they fix a standard measure of performance in the firm. They establish these standard measures based upon the financial, customer satisfaction, production or employee performance.

Measurement of Actual performance
After the establishment of the standard performance, the measurement of the workers is done based upon the standards. Mostly firm use some measuring tools to collect data . These tools can be balance sheet, a sales report, data collected from survey or from the workers performance appraisal.

Comparing Actual vs Standard performance
As explained in the second point above , managers/higher authority have a look at the reports given by the tool which have a detailed info about their performance. Analyse the report deeply for the output. In simpler words, they subtract the actual performance from Standard measure .

Corrective action
This involves the changes that to be made to achieve maximum performance .The managers use the comparison to find a suitable remedy to tackle the problem. In simple words , steps to reduce the difference between standard measure and actual performance .

In the same way in the field of management for a Firm to work, proper planing and organizing should be there.

DIRECTING is the process in which the higher authority / managers analyse , instructs and guides the workers for achieving their goal. They oversee the performance of the workers and make a plan for the proper achievement of the task . It’s a continuous process that initiates from the top-level and flows through the bottom in the organizational tree. This clears shows staffing has no importance if directing is not done .

According to Koontz and O’Donnel :

“Directing is a complex function that includes all those activities which are designed to encourage subordinates to work effectively and efficiently in both the short and long-run.”

IMPORTANCE OF DIRECTIING:

As the manager or higher authority sets a plan or makes a set of task specially for the workers , there is an immediate start of the work . Action begins immediately from the joining for the workers and the proper instructions that are given to them .

This process is continuous
Guide the workers and subordinates . They have to supervise them as well as motivate for the proper working of the workers to reach the goal .

Stability
Stability is the a very important factor for the organization’s balance and constancy . Direction is one such method which facilitates stability .

Performance Oriented
We all want the work should be done in the shortest time ,means in a much greater pace so plans are made in suck a way that it enhances the performance for the workers delivering the result faster.

Human Behaviour
The manager has to make a note of the behavior of his workers .This also involves study and molding of the human nature. It facilitates interpersonal as well as intrapersonal relationship.

Business Ethics – how ethics impact the image of the organizations

‘ Ethics means norms , idols prevailing in a group of society.’ Ethics is concerned with the right and wrongs of the society. Similarly Business Ethics refers to the relationship between the organisation and the society . It refers to the social obligations which an organisation must perform while doing its daily basis activities. Business Ethics are concerned with the right and wrongs of the organisation ie. whatever the work , organisation is doing it should be ethical ie it should not harm the society. For example charging fair price from the customers, paying taxes regularly, fair treatment to the workers, providing quality goods etc.

It is very important for any organisation to follow business ethics as it has a great impact on the image of the organisation in the eyes of the common people. Business survives within the society so in order to fit in that society it has to follow business ethics . Public image plays a major role in the profit earning of the organisation. It is important that the organisation do not indulge in any kind of unfair activities or getting involved in some law suit. This will ruin the public image of the organisation leading to a decline in its product’s sale and thereafter will result in losses to the organisation.

Elements of Business Ethics

* Top level management: Top level plays a major role in guiding the Ethical behavior of the organisation. Top Level managers should be completely committed to their ethical conduct.

* Laying down guidelines: organisations often define principles and a whole set of guidelines which is to be followed by every organisation.

* Proper Accountability: It is very important that the members of the organisation are actually following the laid set of guidelines. Proper check should be there to know it.

If the organisation follows these ethics then it will surely be able to earn more from what is actually expected !

Unhappy employees – are companies losing out on engagement and productivity

Each employee working in an organisation is assigned to do some work. But we can clearly differentiate between the work done by various employees. Some are more interested in doing their work , they will represent it in a better way and will try to add something extra to it. Whereas on the other hand some of them would have just finished their work , without putting any extra effort to it. There is a major possibility that the reason behind this situation is that employees are not happy. There is something depriving them from getting engaged with their work, he reason for their unhappiness……….

“Companies with engaged employees outperform companies with disengaged workers—some sources say they win by 22 percent, some say it’s more like 200. So businesses are investing more time, effort, research and money into building great cultures that will keep employees happier than ever.”- Meredith Falb

There are reasons which make the employees unhappy. Some of them are stated below:

Employees are not satisfied with their basic pay

This is one of the major factors which influences an employee to switch over to another job. Everybody prefers to get the best price for their hardwork . Therefore it is very important that employees abilities are not undermined and they are getting what they actually deserve ,keeping in consideration the organisation’s budget.

Employees are not getting any source of motivation.

It is very important for the manager to appreciate the employees on their performing well. When employees starts feeling that even after their hardwork they are not appreciated then there is a decline in their engagement with their job .

Social factors are also equally important to retain an employee within the organisation

If the atmosphere in the organisation is not very friendly and the employees are not able to connect with each other then it would be very difficult to work in such environment.

People spend a major part of their lives by getting engaged in their work . They want something in return from their work , some sort of ‘token of respect’ or motivation to work which they can remember whole of their life. Their organisation can play a major role in giving them token in the form of ‘REWARDS’. Giving rewards to the employees, when they do their work superbly or do more than expected, can make them very happy and they’ll work more motivatedly . Moreover , employees feel more satisfied when they get rewards and appraisals and their satisfaction is an extremely important issue for the organisation.

‘Rewards management is one of the key strategies used to create a motivated and committed workforce. Studies have long shown that employees who are motivated and committed to the organisation are less likely to quit (Mowday, 1998; Ramlall, 2004). Favorable perceptions of rewards, in turn, have been linked to positive human resource outcomes such as employee job satisfaction, work motivation, affective commitment, high levels of performance and organisational effectiveness (Bratton & Gold, 2007; Squires, 2001; Ulrich, 1997).’- Ines Meyer

Therefore it is very important o provide rewards to employees. Rewards can be devided into 2 categories ie. monitory and non- monitory . Monitory rewards means rewarding them in terms of money .For example- increment in their basic pay , providing them extra commission etc. Non- monitory rewards involves providing them perks like giving them letter of appreciation, standing ovation for remarkable work etc. Employees can be rewarded in the following way as well :-

* promoting them

* increasing their pay

* providing them perks like a free trip nearby

* giving them some title

* a letter of appreciation when they perform well

* a memorable farewell party etc…..

Employees are the biggest assets in every organisation and therefore they should be taken care off. These rewards are a mark of respect given to an employee and employees feel more attached to their organisation. they work more hard so as to make their performance better plus contributes towards the collective growth of the organisation.
