Printing and Formatting

Formatting Document

It means enhancing the appearance of the document to make it more readable or attractive is called formatting.

Font Formatting
It is done by making the font

  • Bold
  • Italics
  • Underline
  • Changing Fonts

Paragraph Alignment - It positions paragraph as

  • left
  • center
  • right
  • justified



Indent and types - Indents enable better layout of a document by positioning text accordingly.

  • Left indent
  • Right indent
  • First line indent
  • Hanging indent

Line Spacing - It is between lines of a paragraph and various line spacing options are

  • 1.5 lines
  • Double     
  • At least
  • Exactly    
  • Multiple

Tab Stops - It is the start point of text in a line. Various tab alignment are

  • Left    
  • Center    
  • Right    
  • Decimal    
  • Bar    


Bullets and Numbering - Both are used ti indicate individual element of a list by the Bullets and Numbering dialog box.

Displaying / Hiding of Formatting Marks - If they are enabled then the  ¶ character is shown for paragraph mark.

Document Enhancement - It is done by

  • Borders and Shading
  • Background
  • Theme


Other options available are

  • Drop Capital
  • Multiple Columns
  • Style
  • Word Wrap
  • Change Case - They are of type
  • Sentence case
  • Lowercase
  • Uppercase

Printing Document

We can print the active document by clicking Print Button image on the Standard toolbar. If the document is not printing or a Save As dialog box is seen when clicking the Print button, you may need to set up the printer that you're trying to use.

In MS-Word preview a document to display each page as it will look when printed. Click Print Preview Button image on the Standard toolbar. To exit print preview and return to the previous view of the document, click Close.

Option to print all or part of a single document can be

  • Print a range of pages
  • Print only odd or even pages
  • Print specific pages and sections


Option to print a document in a different format

  • Print a draft
  • Print in reverse order
  • Print multiple pages on one sheet of paper
  • Print to a file


Option to print multiple copies or more than one document

  • Print more than one copy at a time
  • Print several documents at once
