We need to communicate in order to be heard and to be understood by others. In the business world the act of communication forms the basis of the workings of the system and is therefore needed to be refined and proper. Poor communications skill not only creates problems in the workspace, it also proves as a barrier for individuals on job hunts. Therefore, one must have good communication skills to survive in the business world and here comes the role of business communication.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>What is business communication?<\/strong><\/h2>\n\n\n\n<p>It is impossible for a business organization to\nfunction without constant movement of information and feedback,<strong> business\ncommunication<\/strong> <strong>is the mechanism and means by which this information flows\nalong different departments of the organization. It includes all forms of\ncommunication that is, reading, writing, speaking and listening. <\/strong><\/p>\n\n\n\n<p>As an employee or an employer, one must be a\npart of the larger organization which can only function with some form of\ncommunication and that requires skill and eloquence. Most people feel that the\nsimple act of communicating does not require any special attention, even in their\nworkplace. However, when looked at closely the intricacies of the various\nlevels of communication in companies and business organizations often proves\nchallenging. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Why effective communications skills are important?<\/strong><\/h2>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Exchanging information<\/strong><\/h3>\n\n\n\n<p>Communication is\nessentially the exchange of information between two or more parties. Business\nexchanges can be external and internal. Internal communication deals with the\nstaff, it could be in meetings or through written messages (emails, documents,\netc.) while external communication deals with clients, suppliers and other\nbusiness. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Teamwork<\/strong><\/h3>\n\n\n\n<p>Communication does not\njust involve conveying message and information, it also involves being an\nactive listener and understanding the message being conveyed. For a project to\nwork smoothly and successfully the ability to collaborate and cooperate as a\nteam plays an important role. Effective business communication helps promote\nunderstanding and build trust between colleagues, an important part of working as\na team. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Preparing and executing plans and policies. <\/strong><\/h3>\n\n\n\n<p>To form sound and\nrealistic plans and policies all the relevant information is needed, this\ninformation is collected through different sources by communicating. Managers\nfind reliable sources and information through the tool of communication.\nEffective Communication also helps get the feedback needed to bring changes to\nthe existing policies and to express views on the new upcoming policies. <\/p>\n\n\n\n<p>Timely execution of\nthese policies and plans also needs communication, organizations rely on\ncommunication to disseminate information about the plans and decisions to the\nvarious departments. One example of this are the minutes prepared for each\nmeetings, it helps inform the workers of what was decided on the previous\nmeetings and how far has it been implemented. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Increases productivity and efficiency<\/strong><\/h3>\n\n\n\n<p>With the help of\ncommunication, the tasks and objectives of an organization, their plans,\npolicies, rules and other complex matters can be explained to the employees\nhelping them to broaden their knowledge about the project they are working on\nand thus be more efficient in their work. Communication also helps build the\ntrust between the employer and employee which leads to better workplace\nenvironment and a general trust and belief in the voice of the managerial\nfigure encouraging the employees to be more productive and efficient. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Secure workplace environment<\/strong><\/h3>\n\n\n\n<p>An organization with\ngood communication at all levels also has a more satisfied workforce and\nhealthy workplace atmosphere. Communication helps the lower levels of the\norganization to be at ease with the authorities leading to a healthy\nrelationship where they can voice their issues and raise concerns without any\nhesitation. This creates less chance of misunderstandings between the workers\nand helps avoid any internal conflicts. It also proves as a good tool for the\nauthorities to get feedback and hear the views and arguments of all the\nemployees, it promotes an open door policy that encourages the hierarchy of the\norganization to communicate among themselves and work smoothly as a team. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Improving external relations (with clients and\nother businesses)<\/strong><\/h3>\n\n\n\n<p>Good relation with the\nclients and other business ventures is always desired for a business\norganization. Effective business communication skills helps build a healthy\nreputation and trustworthy relation with the clients, thus promoting the\nbusiness and helping it grow. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>Publicity and advertising<\/strong><\/h3>\n\n\n\n<p>In today\u2019s competitive\nmarket, good publicity and advertising is of utmost importance. The better the\ncommunication skills of an organization, the better its reputation and the\nbetter numbers it has in its sales. Communication also helps remove any\ncontroversies that might circulate around the organization as it allows for a smooth\nflow of information among the parties involved and any disagreement can be\nresolved easily with good communication. <\/p>\n\n\n\n<p><em>Having looked at the various advantages\nof good and effective business communication, let us look at some ways you can\nimprove your communication skills. <\/em><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Ways in which you can improve your communication skills<\/strong><\/h2>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Be a good listener. <\/strong><\/li><\/ul>\n\n\n\n<p>Good communication is a two way street and can only flow when the meaning\nof the words is grasped properly. When someone is talking to you they expect to\nbe heard and have your undivided attention. Do not be distracted by things\naround you and keep your attention on the speaker. Give voice to any\nmisunderstanding. Do one thing at a time, one conversation at a time.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Know your audience. <\/strong><\/li><\/ul>\n\n\n\n<p>Know the language and attitude to use in formal and informal situations.\nWhen talking to a client or your boss the conversation has to be strictly\nformal. Watch your body language.&nbsp; Target\nyour message in accordance with the audience, keep the person you are speaking\nto in your mind and approach accordingly. <\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Empathize. <\/strong><\/li><\/ul>\n\n\n\n<p>Be understanding of the needs and issues of the person you are speaking\nto. Put yourself in their shoes and try to approach the problem keeping with\nunbiased mindset. <\/p>\n\n\n\n<p>Treat everyone equally. <\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Be positive in your language. <\/strong><\/li><\/ul>\n\n\n\n<p>Try using positive words instead of negative ones. Be optimistic in your\napproach. Be open to different ideas. <\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Be concise and specific. <\/strong><\/li><\/ul>\n\n\n\n<p>Try to avoid confusing speech. Be specific and state your position\nopenly. Keep the words concise and don\u2019t go beating around the bush. <\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Think before you speak.<\/strong><\/li><\/ul>\n\n\n\n<p>Most of the time impulsive actions and words are not genuine and yet\ncreate the most conflicts. So take your time and think before you say anything.\nRead your messages before finally sending it. <\/p>\n\n\n\n<p>There are many ways in\nwhich you can improve your communication skills, just keep in mind the two\nactions involved, that is, of listening and conveying your message clearly.\nPractice makes perfect, so practice communicating openly with people in all\nspheres of life. <\/p>\n\n\n\n<p>Good communication is\nan asset useful not just for the purpose of business but also for interpersonal\nrelationships.
